The first part of the time record

Client

The time record can be used to monitor which client you worked for. Any number of projects can be assigned to each client. You can choose clients from the drop- down list options or quickly create a new customer using the plus button. We, however, recommend you creating clients in the Administration 👉 Customer. This way you can fill in information such as email, mobile, etc.

Project

In the project, you can specify its members, budget, plan, activities, tasks and much more. You can choose projects from the drop- down list options or quickly create a project using the plus button - the same way as with the Customer. We again, however, recommend you creating projects in Administration 👉 Project.

Task

Task is a subcategory of a project - it is dependent on it. They always belong to only one specific project. A task can have its owner, a sub-plan and a budget. After you select a project, the Task field appears and you can choose from the drop- down list options or quickly create a task using the plus button the same way as with Customer and Project. Activity

Unlike tasks, activities can be both independent and dependent on a project. The activities are suitable for general activities that can take place within any project. An activity should be repetetive or not usually end witihin a short period, such as administration, meetings, programming or calling. You can quickly create an activity using the plus button the same way as for the other fields. We again, however, recommend you creating projects in Administration 👉 Activities.

The second part of the time record

User

This field is only intersting to account owners and administrators. They can track the time for other team members. You just click on the field and choose a member. You are all set and can track the time for your teammate.

Note, by default your name is always dispalyed first

Length of the time record

You can adjust the date, start and end of arecord by clicking on the icon or the time/date itself.

  • Upon clicking on the icon, a small dialog window appears where you can simply manipulate with the time and date.

  • Upon clicking on the time/date itself, you can just delete it and type in the wanted time and date

For a fast edit of the time use the Duration field. Simply click on the arrow icon and a window with predefined durations appear. Upon clicking on one of them, the whole record adjusts accordingly. Upon clicking on the number, you can edit the duration by retyping it.

Description

If you want to add even more details to a time record or write fdown a note of exactly what you were working on, the description is the right place to record such information.

The third part of the time record

Billable

The checkbox "Billable" enables you to bill out this parcticular time record to a client. Upon checking it, two fields - Hourly rate and Price appear.

Hourly rate can be already defined for all of the time record items in the pricing feature in the Billing module. If that is your case, you can see the fields getting filled automtically. By default, they are locked.

In case you would like to set a custom price to that particular time record, simply click on the Set custom price button which will unlock the fields.

primaTime calculates the final price automatically for you. So if you worked 30 minutes and your hourly rate is 100€, the Price will be 50€. Simultaneously, if your first insert the Price, primaTime will automatically fill the hourly rate for you.
