Creating bills

Learn how the Billing module allows you to issue bills based on your tracked time

In prima:Time, bills can be issued in different ways, but one of the most straightforward methods, a process we will now guide you through, may be found on the "Dashboard" subpage of the Billing module.

Once there, you can issue a new bill by simply clicking on the "Create bill" button, located right after each Client’s name and its respective tracked time info, on the right side of your screen, as you’ll see on the images and videos below.

This procedure will automatically add the on-screen client related time records into the new bill.

Note that the dashboard subpage is set to automatically show you time records based on a preconfigured time range (“this month”), a period which can be easily modified by using the respective filter, located on the left side of your screen.

The “Dashboard” subpage method

To issue a new bill while on the Billing dashboard, do the following:

  1. Access the Billing module

  2. Make sure you're on the "Dashboard" subpage

  3. Click on the relevant "Create bill" button, found on the same row as the selected Client

  4. Select the time records you want to add to the bill (the Time Range is set to This month, by default)

  5. Click on the "Add to bill" button and a new window containing your new bill information will be shown

  6. You can also click on the "Settings" button in order to set up what should be ultimately displayed on the bill itself (e.g., project, task, description, etc.)

  7. After doublechecking if everything is correctly configured, click on the "Save" button, as seen below:

The “Bills” subpage method

Another easy way to create bills is through the Bills dashboard, simply by clicking on the "+New bill" button, a different method which allows you to manually add specific time records to each bill instead of immediately start working with pre-selected time records, as in the previously described “dashboard method”.

To issue a new bill using the “Bills” subpage method, do the following:

  1. Access the Billing module

  2. Click on the "Bills" subpage

  3. Click on the "+ New bill" button, as seen below:

4. Select the "Client" (bills are always issued based on a specific “Client”) and the “Description” mandatory field will be automatically populated, adding editable information based on the selected time range (also “This month”, by default)

5. Fill out other necessary fields such as "Contact person", "Header", etc. (optional fields)

6. Click on the "+ Time records" button to add specific time records to your new bill

7. Set the desired "Time range" and any other relevant field, thus filtering out your chosen time records

8. Select the particular time records you want to include in the bill by checking their boxes

9. Click on the "Add to bill" button

10. You can also click on the "Settings" button in order to set up what should be ultimately displayed on the bill itself (e.g., project, task, description, etc.)

11. Finally, click on the "Save" button, as seen below:

Note: after creating any bill, the included time records are immediately set as “billed”. These time records can't be edited for now. To be able to edit them, you either need to remove those particular time records from the bill or delete the bill itself.

Created bills additional actions

On the "Bills" dashboard, you can further work with already created bills by clicking on the "settings wheel" icon, located on the right side of your screen, right next to each bill’s summarized info and price.

There, you can Edit or Delete the bill, Approve it, set it as Paid, Send it by Email or even Print it, all as seen below:

Note: when a bill is set as paid, this bill can't be edited nor deleted unless it is set back to unpaid (an action which can also be performed in the same menu).
