External Costs

The Billing module allows adding external costs related to the work carried out for your clients.

In case of adding the external costs when they occur before the billing period, you have to create a bill, add the external cost to it and save the bill as a "draft". Eventually, when billing out the time to your customer, you'll open the same "draft" bill, add the time records to it and send the bill containing both the external costs and time records to your customer.

To add an external cost, do the following:

  1. Go to the Billing module

  2. Click on the "Bills" subpage

  3. Click on the "+ New bill" button, as seen below:

When on the Bill creating page, do the following:

4. Select the "Client"

5. Fill out other information such as the "Contact person", "Header", etc. (optional)

6. Click on the "Manual item" button

7. Assign the name, quantity, and hourly rate to it

8. Click on the "Save" button to save the External cost

9. Click on the "Save as draft" button, as seen below:

Bills saved as "draft" will have a red tag called "draft" placed instead of the bill's number, as seen above.

To add time records to the "draft" bill, do the following:

  1. Go to the Billing module

  2. Click on the "Bills" subpage

  3. Click on the "sprocket" icon

  4. Click on "Edit bill"

  5. Select the "Client"

  6. Add the time records to the bill

  7. Click on the "Save" button to save the bill, as seen below:

You can further manipulate with the bill by clicking on the "sprocket" icon, as seen below:
